Power Pages

AVFS Expense Management System

We developed an end-to-end Expense & Claims Management System for AVFS. External users submit expense claims through a secure Power Pages portal, while internal teams use a Model-Driven Power App to review, process, approve and manage those claims.

What we built

Key features and contributions

Power Pages: external expense submission

  • Developed a secure external-facing portal for users to submit expense claims.
  • Enabled users to enter expense details and upload supporting receipts and documents.
  • Gave users visibility into their submitted claims and claim status.
  • Kept the experience simple and accessible, with no need for access to the internal Power Apps environment.

Model-Driven Power App: internal claim processing

  • Developed an internal application for AVFS staff to manage the complete claim lifecycle.
  • Internal users review submitted claims, validate information, manage supporting documents and progress claims through approval.
  • Created dedicated views and forms for pending, approved, rejected and processed claims.

Dataverse: centralized data layer

  • Used Dataverse as the central data platform connecting the portal and the internal app.
  • Designed relationships between users, claims, expenses, approvals and supporting information.
  • Enabled a single source of truth across external submission and internal processing.

Power Automate: workflow & notifications

  • Automated the movement of claims through the internal processing and approval stages.
  • Implemented notifications and workflow actions based on claim status and approval decisions.
  • Reduced manual coordination between external submitters and internal processing teams.

SharePoint: document management

  • Integrated SharePoint for storing expense receipts and supporting documentation.
  • Linked claim-related documents with their corresponding Dataverse records.
  • Provided centralized access to supporting documents during claim review.

Security & access control

  • Implemented appropriate security controls for external and internal users.
  • External users work with claims through Power Pages, internal users through the Model-Driven Power App.
  • Ensured users only have access to the information relevant to their role and responsibilities.

Business outcome

The solution provides AVFS with a complete digital expense-claim lifecycle, separating external submission from internal processing while maintaining a centralized Dataverse backend. This creates a structured, secure and scalable process for managing expense claims from submission through final processing.
